CLUBS & ORGANIZATIONS

The purpose of Club & Org spaces is to allow members to promote their group, encourage new members to sign up, and promote events and efforts of the group.  These spaces are not designed for entire clubs or organizations membership to get into at a discount.  We offer the registration discount for those members that will be staffing the table during G.A.M.E.   Please purchase additional badges for those members that will be working at your booth.

Why come to G.A.M.E. if you are a Club or Organization?  You can promote yourself, expand your membership, raise funds for activities, gather your members together for a fun weekend, and generally have a great time and make some wonderful memories.  Please come join us!

QUALIFYING CLUBS & ORGS

Clubs & Organizations spaces are offered to groups that meet at least 3 of the following criteria:

  • Charitable Aspect : The group volunteers their time and/or money to a non-profit charitable cause.
  • Defined Membership : The group has a list of members that can be provided to prove membership.
  • Online Presence : The group has a website / Facebook page / or some online reference about your group.
  • Verifiable Non-Profit Status – 501 (3)(c) : You can provide IRS tax documents upon request.
  • Promotion of Education & the Arts : The group promotes educational efforts and/or supports the arts.

CLUB & ORG PROCESS

STEP 1

Create a Membership Registration account with our website.  As an Club & Org Leader make sure you fill out that section of your profile.

STEP 2

Access the online store to purchase your booth space and any additional badges.  Club & Orgs will be placed in the row based on first paid to the front of the room, and on back toward the back of the room in order of payment received.


PURCHASE NOW

STEP 3

Once we’ve received your payment, within 2-3 business days we will post your info to the website to promote you to our attendees and confirm you as attending.

STEP 4

• Submit your AD by the deadline.

• Booth Set-up on Thursday night.

• Pick-up Welcome packet from Registration on the day of the event.  Nothing will be shipped to you.

CLUB & ORG INFORMATION

CLUB & ORG SPACE

Club & Org spaces are 8′ x 8′.  This space includes 1 table and 1 Weekend Badge.  You can arrange your space as you see fit.  Clubs & Orgs are able to purchase a maximum of 2 spaces.

For a $35  fee, Clubs & Orgs get:

  • 8′x8′ space, 1 table, 1 badge
  • Additional badges are $15 each
  • Free Wireless Internet
  • Free Swag Bag Insert
  • Free 1/4 page program ad
  • Raffle Prize Promotion (and tax deduction)

ADDITIONAL BADGES

With each space purchased for a club & org (maximum 2) you get 1 Weekend Badge included.  You can purchase additional badges.  These passes are reduced to $15 per person.  We offer this discount to the people manning the space and promoting your club & org.  The discount does not apply to the entire club or organization.  Other members that are attending will need to purchase their own INDIVIDUAL REGISTRATION.

WIFI

Free WiFi will be available all weekend.  To assist with bandwidth concerns, we would appreciate no video streaming during our 3-Day event.  If you have any WiFi issues, please contact a G.A.M.E. Staff member.

 

SWAG BAG

We invite all our exhibitors to supply items for the “swag bags”.  We will be planning on making 400 bags.  You can provide 400 items or less.  Each exhibitor can put ONE item in the bag. We will take anything you want to give us for the bags.  Doesn’t have to be enough for all – we can sprinkle items randomly.

SWAG BAG ITEMS MUST BE DELIVERED to the Expo Center on THURSDAY NIGHT between 5PM and 9PM.

RAFFLE / POLYBUCKS PRIZES

We rely on the generosity of our wonderful exhibitors, sponsors, clubs and others to provide a cornucopia of prizes for our raffle and polybucks auction!  We get an amazing variety of items that are donated by our supporters.  These items are on display at HQ the whole weekend (soon as they are donated) and we let everyone know who donated them and how thankful we are!

This year we will provide tax donation letters for the value of items donated, so that you can “write-off” these items for your business.
